Turning long emails into real engagement

This leading SaaS company has been one of my long-term clients, and working with them has always been about refinement, not rescue. Their team is smart, driven, and knows their audience well - they just wanted their email marketing to work harder.

They were sending great information, full of insight and value, but the problem was familiar. The emails were too full. Too much text, not enough breathing space.

We all know how inboxes look these days. People don’t have time to scroll through paragraphs. They scan, they click, or they move on.

The plan: simplify, sharpen, and humanise

Instead of rewriting everything from scratch, we focused on structure and tone.

  • We started by tightening the subject lines, keeping them short, punchy, and a little more human, even adding the occasional emoji. That small tweak immediately improved open rates.

  • Next, we restructured the email layout: less text, more visual flow. Clear headings, shorter paragraphs, and space for the reader to pause and click.

  • I added more clickable areas: buttons, image links, and smart CTAs placed throughout the content (not just at the bottom).

  • We brought in graphics and clean visuals to break up copy-heavy sections and highlight key takeaways.

  • Lastly, I created a style guide for their internal team to keep everything consistent - tone, formatting, and message clarity.

It wasn’t about stripping away the detail. It was about making the detail easier to digest.

The result

Within a few campaigns, open rates were noticeably higher - proof that subject line changes and structure tweaks were working.

Engagement rates followed, with more people clicking through and staying on the site longer.

But the best part? Their brand personality came through brilliantly. The emails started sounding more like real people talking to their customers - confident, helpful, and warm.

This wasn’t about gimmicks or growth hacks. It was about clarity, design, and respect for the reader’s time.

Why it matters

Email marketing is still one of the most powerful tools any SaaS business has, but it only works if people actually read the emails.

South African audiences in particular value clarity and authenticity. You can’t just copy-paste American-style email formulas and expect results. You need messaging that’s professional, real, and easy to act on.
